Missed Call Text Back for Med Spas: How It Works and What to Send

Missed call text back for med spas, done consent-first: how it works, three texts to copy, and how to handle callers who haven't opted in.
Missed call text back sends an automatic text when your med spa misses a call, usually within a minute. The text says who you are, apologizes for missing them, and invites a reply or offers your booking link. Done right, it only texts callers who have agreed to hear from you by text, and flags everyone else for a quick callback.
Below: why it matters for a med spa, how it works, three texts you can copy, and how to keep it consent-first.
Why missed calls cost a med spa more than most businesses
Your front desk is often the same person who checks clients in, takes payments and answers questions at the counter. Calls come in while they’re busy, at lunch, and after you close. New clients shopping for tox, filler or a facial usually call more than one spa, and the first one that answers tends to get the consult.
Voicemail doesn’t solve it. Many callers hang up without leaving a message, and the ones who do often wait hours for a callback. A text reaches them while they’re still deciding.
How missed call text back works
- A call comes in to your business number and rings your front desk as usual.
- If nobody answers, the line is busy, or the call goes to voicemail, the system notices.
- It checks whether the caller has agreed to receive texts from you. If they have, it sends a text within a minute from the same number they just called.
- If they haven’t, no text goes out. Your front desk gets an alert to call them back instead.
- Text replies land in a shared inbox your team can answer from a phone or computer.
- If they tap your booking link and book, your normal confirmation and reminders take over.
Because the text comes from the number they called, clients recognize it and reply. Most people find texting easier than calling back.
For new callers who haven’t opted in, let them start the conversation. A voicemail greeting like “You can also text us at this number” lets them text you first, and then you can reply.
What to send: three texts you can copy
Keep each one short, name your spa, and make it easy to reply. Replace the parts in brackets.
1. During business hours
Hi, it’s [Spa Name]. Sorry we missed your call, we’re with a client right now. How can we help? You can also book here: [booking link]. Reply STOP to opt out.
2. After hours
Hi, it’s [Spa Name]. We’re closed right now but saw your call. Reply with what you’re looking for and we’ll get back to you in the morning, or book any time: [booking link]. Reply STOP to opt out.
3. An existing client
Hi [First name], sorry we missed you at [Spa Name]! Need to book, move an appointment or ask a question? Just reply here. Reply STOP to opt out.
Rules for missed call texts that work
- Send it fast. Within a minute or two, while they still have their phone in hand.
- Say who you are. Start with your spa’s name so the text doesn’t look like spam.
- Only text people who opted in. Check for SMS consent before any automatic text. Callers without it get a callback, not a text.
- Send one text, not a sequence. Answer their call and stop there unless they reply.
- No offers or promotions. Keep it about their call. Specials belong in messages people have opted in to as marketing.
- Include a way to opt out. “Reply STOP to opt out” is short and clear.
- Keep treatment details out of texts. Don’t mention procedures, results or health details in an automatic message.
- Make sure a person answers replies. The text starts the conversation. Your team still has to finish it.
Consent first, and the texting rules to know
Business texting in the US runs through carrier registration called A2P 10DLC. Texts from a local business number that isn’t registered are often filtered or blocked, so register your brand and texting campaign before you turn anything on.
Our rule is simple: never text anyone who hasn’t agreed to receive texts from you. Clients give that consent by ticking an SMS box on your web form or booking page, or by texting you first. Keep a record of it, send marketing only to people who agreed to marketing texts, and honor STOP right away. Texting rules change and vary by state, so check your setup with your attorney. This article isn’t legal advice.
What you need to set it up
- A business phone number that can send texts. That can be a new number, or your existing number moved or forwarded to a texting-capable system.
- Your online booking link.
- Your business hours, so after-hours callers get the right text.
- Who on your team should get alerts, call back new callers and answer replies.
- SMS consent checkboxes on your forms and booking page, so the system knows who has opted in.
With a CRM that handles calls and texts in one place, setup takes an afternoon. The texting registration takes longer, often a few days to a couple of weeks for carrier approval.

Frequently asked questions
Does missed call text back work with my current phone number?
Usually, yes. Your existing number can be moved or forwarded to a system that sends texts, so clients keep calling the number they already know. A new number works too.
Will it text landlines?
It shouldn’t. A good system checks whether the caller’s number can receive texts and skips landlines.
What happens with callers who haven’t opted in to texts?
They don’t get a text. Your front desk gets an alert to call them back, and your voicemail greeting can invite them to text you at the same number.
Can I send different texts during and after business hours?
Yes. Set your hours and the system picks the right message based on when the call comes in.
Is missed call text back legal?
Used consent-first, it’s built on the same rules as any business texting: only text people who agreed to it, register for A2P 10DLC, include an opt-out and honor it. Rules vary, so confirm your setup with your attorney.
