I Built a Med Spa That Doesn’t Exist: Inside a GoHighLevel Follow-Up System

This med spa does not exist. So why did it just text me back? A phone showing Aurelle Aesthetics auto-replies, booking confirmation and a 3-month tox rebooking text.

Aurelle Aesthetics is a fictional med spa with a fully working GoHighLevel system behind it: 17 live automations, treatment series booked up front, and rebooking timed to each treatment. Here is how it works.

Most med spas don’t have a lead problem. They have a follow-up problem.

A prospect fills out a form at 9 PM. Nobody answers until the next afternoon, and by then she has booked somewhere else. A client gets tox, loves it, and never hears from the spa again until she’s already overdue. Nothing looks broken on paper. The leaks are in the gaps between the website, the front desk and the calendar.

I wanted to show what closing those gaps looks like, so I built one from scratch.

Meet Aurelle Aesthetics

Aurelle is a fictional med spa in Virginia Beach. It has three providers, six treatments, a live website and a fully working GoHighLevel system running behind it. It’s live at medspa.zeptonic.com, and you can book a visit and watch the whole thing work. (No one will show up for your appointment. The confirmation tells you so.)

Every piece is built the way I’d build it for a paying client.

The website: built to get people booked

The site has one job: move someone from curious to booked with as little friction as possible. So instead of one generic “Contact us” form, there are three paths:

  • Book a single treatment with the provider you want
  • Book a full treatment series in one go
  • Start with a free consultation if you’re not sure yet

Each path feeds straight into GoHighLevel. Nothing gets retyped, and nothing sits in an inbox.

The GoHighLevel system behind it

This is where most of the work lives. Aurelle runs on 17 live automations and a six-stage pipeline. Here’s what a client experiences:

  1. First reply in under a minute. Every inquiry gets a text and an email right away. If a call is missed, a text goes out automatically so the lead doesn’t go cold.
  2. The whole series booked up front. A Hydrafacial client can reserve six visits, four weeks apart, in a single booking. Laser, microneedling and peel series work the same way. Keeping clients is built into the calendar instead of left to memory.
  3. Confirmations and reminders. A confirmation the moment they book, then reminders 24 hours and 2 hours before. If someone doesn’t show up, a separate sequence reaches out to reschedule.
  4. Aftercare and reviews. A check-in the morning after the visit, then a review request.
  5. Rebooking on the treatment’s clock. Tox clients hear from Aurelle at three to four months, filler at six to twelve, Hydrafacial at four to six weeks. Each treatment has its own rebooking workflow, seven in total.
  6. The long game. Membership renewal reminders, plus a win-back sequence for clients who have drifted away.

On the owner’s side, every person moves through one pipeline: New Lead, Hot Lead, New Booking, Visit Attended, Sale, Left a Review. At a glance you know where everyone stands and where people drop off.

What building it reinforced for me

Process first, software second

I mapped the client journey on paper before I opened GoHighLevel. The tool is powerful, but it only automates what you’ve already decided. Automate a messy process and you get a faster mess.

Compliance is a design decision

Consent to texts is captured on the form and tagged on the contact. Anyone who hasn’t opted in gets the email-only version of the same follow-up. It’s part of the build, not fine print bolted on later.

Small workflows beat giant ones

Seven rebooking workflows sounds like more work than one. It’s the opposite. Each one is easy to read and easy to adjust, and when something misfires you know exactly where to look.

Keeping clients is cheaper than finding new ones

Most of Aurelle’s automations aren’t about new leads at all. They’re about the clients the spa has already earned.

Why I built it

I’m Bry, founder of Zeptonic Solutions in Virginia Beach. I set up GoHighLevel, build websites and fix the processes that sit between them, for service businesses that are tired of losing people in the gaps.

Aurelle is my portfolio piece and my proof. Book a visit at medspa.zeptonic.com and watch your phone.
